How to Export Epic Data
into Actionable Analytics in 24 Hours

If your organization runs Epic, your data is already there. This guide shows you every method for getting that data into Vizier — from the simplest Reporting Workbench export to Clarity SQL queries — with the right method for your technical level.

The Four-Step Framework

Identify the question you want to answer

The question determines the export. 'What is my 30-day readmission rate?' needs discharge data. 'What is my MIPS score for hypertension control?' needs a quality measure report. Start with the question.

Run the appropriate Epic report or export

Choose the export method that matches your question and your technical access. The six methods below cover every Epic environment, from basic Reporting Workbench to Clarity SQL.

Upload to Vizier

Upload the CSV or Excel file to Vizier. Vizier automatically identifies the data structure, maps column headers, and prepares the dataset for queries.

Ask your question

Type your question in plain English. 'Which patients with HbA1c > 9.0 have not had a follow-up visit in the last 90 days?' Vizier returns an answer with supporting data.

Epic Export Methods

Reporting Workbench

Clinical and administrative staffEasy

Epic's built-in report builder available to most licensed users. Supports standard templates across encounters, diagnoses, procedures, billing, scheduling, and quality measures. Most practices have access to Reporting Workbench without additional licensing.

Steps

  1. Open Epic and navigate to the Reports menu
  2. Search for a standard report template matching your data need (e.g., "Billing Summary," "Quality Measure Detail," "Scheduling Report")
  3. Select a date range and run the report
  4. Click "Export to Excel" or "Export to CSV" from the results view
  5. Upload the file to Vizier

SlicerDicer

Clinical staff, quality teamsEasy

Epic's self-service population analytics tool. Drag-and-drop filters let you slice patient populations by diagnosis, medication, lab result, or demographics. Export results to CSV for further analysis in Vizier.

Steps

  1. Open SlicerDicer from the Epic menu (requires SlicerDicer licensing)
  2. Select a Patient population type
  3. Add filters for your population (diagnosis, medication, lab, demographics)
  4. Add data points to the output columns
  5. Click "Run Query" and review the results
  6. Export to CSV using the download icon
  7. Upload to Vizier

Crystal Reports Export

Report writers, analystsModerate

Epic environments often include Crystal Reports for custom formatted outputs. Crystal Reports can be exported to CSV, Excel, or PDF. Requires Crystal Reports author training or access to pre-built report templates.

Steps

  1. Open the Crystal Reports module in Epic (typically in the Reports library)
  2. Find the relevant pre-built Crystal Report
  3. Set parameters (date range, provider, location, etc.)
  4. Run the report and select Export
  5. Choose CSV or Excel format
  6. Upload to Vizier

Cogito / Caboodle Data Export

IT staff, analystsAdvanced

Cogito is Epic's analytics platform (including Radar dashboards and the underlying Caboodle data warehouse). Organizations with Cogito licensing can run structured queries and export datasets. This typically requires IT involvement and Caboodle database access.

Steps

  1. Work with your Epic administrator to identify available Caboodle tables
  2. Write a Caboodle query or use the Cogito report builder
  3. Export results to CSV
  4. Upload to Vizier

Clarity Database Queries

Database administrators, IT staffAdvanced

Clarity is Epic's relational database (Microsoft SQL Server). Organizations with Clarity access can run SQL queries directly against their Epic data. Requires database credentials and SQL knowledge. Not recommended for clinical staff.

Steps

  1. Connect to your Clarity SQL Server using approved database credentials
  2. Write a SQL query against the relevant Clarity tables (pat_enc_hsp, order_med, hsp_acct_dx_list, etc.)
  3. Export query results to CSV
  4. Upload to Vizier

Epic Data Export Feature

Epic administratorsModerate

Epic's native data export utility allows administrators to export structured data files for specified patient populations or date ranges. Useful for bulk data migrations or large-scale analytics datasets.

Steps

  1. Work with your Epic administrator to configure a data export
  2. Specify the data elements, patient population, and date range
  3. Schedule or run the export
  4. Retrieve the output files
  5. Upload to Vizier
